Change Note Coordinator

Location: Melbourne, Australia

Department: Manufacturing Engineering

We are currently seeking a Change Note Coordinator to work within the Manufacturing Engineering team in Bayswater.

The position’s primary purpose is coordinating and planning the implementation of Engineering design changes and new product releases formally into production.

Responsibilities of the role include but are not limited to;

  • Data entry into QAD through Item Master, including new and revised component and assembly part numbers
  • The updating of Bills of Materials through QAD and planning implementation dates based on lead-times and availability of new and/or current components
  • Working with Purchasing and Manufacturing Engineering to establish Make versus Buy of new components
  • Reviewing and understanding the purpose and intent of each Engineering/ Improvements change in order to plan accordingly by liaising with the Change Champion
  • Reviewing and minimising component obsolescence during implementation of change and the disposal of any such obsolescence, working with Finance
  • Providing constructive feedback to Engineering regarding Engineering or Improvement Change Notes based on their ERP and CAPA/Change description
  • Planning of dates and tasks via the QuickBase Change Note System through the business in order to ensure product is released smoothly and correctly
  • Ensuring the order in which tasks are dated and assigned are in a logical order
  • Follow up and planning of approved Change Notes must be done in a timely and effective manner
  • Issuing of Break-Point flags to production planning to identify to Production when a change is coming
  • Supporting different departments through the business when required to ensure smooth implementation
  • The follow up of all Change Notes in progress with the Change Champion and respective stakeholders to ensure they are completed and closed out in a timely manner
  • Reporting of KPI’s associated with the Change Management process on a monthly basis to all stakeholders

    • MRP detail inquiry
    • Product structure maintenance
    • Buyer/Planner codes
  • A good understanding of how the QuickBase CAPA/CN system works
    • Reviewing CAPA and Change requirements
    • ERP understanding
    • Maintenance and creation of Change Note plan
  • A good understanding of how to use ARAS PLM to:
    • Perform drawing reviews
    • Understand manufacturing & assembly process requirements
    • Understand BOM structures
  • Excellent written and verbal communication skills across all facets of the business including:
    • Change Champion
    • Australian and Thailand plants
    • Mechanical & Electrical Engineering
    • Operations Group (Production, Planning, Purchasing & Mfg Engineering)
  • Highly proficient in the use of a computer and office applications to produce documents and tools to facilitate job requirements
  • High Level of time management skills
